So you’re looking to book a coach for your group. You’ve made your initial enquiries, you’ve got your prices back, and they are all over the place!
Where do you begin? What do you look for? What do these prices actually get you?
This guide will help you understand which quotes offer you the best value and avoid the common pitfalls faced when chasing the cheapest option. We will aid you in getting the best combination of price and service. We’ve broken the guide down into two sections: what to consider when asking for quotes, and what to consider when choosing operators.
What to consider when getting quotes
Peak Dates
Are you planning to travel during the summer months? Or perhaps to a large event? Make sure these quote requests are in as early as possible to ensure you can secure the vehicle(s) you need. The savviest clients are booking these peak dates up to a year in advance to ensure the best pricing and the vehicles their group require.
Tip: Don't wait! Booking last minute limits your choices and means paying more for less.
Timings
Timing is everything. Like most operators, we have school contracts Monday to Friday—if you can work around these times, you’re in for an excellent deal during the vehicle downtime!
Tip: Avoiding school run times could give you massive savings! (07:00 - 09:00 & 14:30 - 16:00)
A coach driver cannot legally work for more than 15 hours. If you can ensure your trip fits within a 14-hour “safe buffer,” you will entirely avoid costly extra driver movements and any sorts of delays for driver swaps on your return leg.
Accuracy
The more precise your details, the better your quote. Exact passenger numbers, locations, and timings allow us to provide the most efficient vehicle allocation and cost-effective price for you.

Luggage & Facilities
30 passengers on a 30-seat midi sounds like great value. But not if it’s a sports team visiting for a week with multiple huge bags each! Always specify the type of luggage to ensure we can provide the best-fit vehicle for your group.
If you want a toilet available, or USB ports on the vehicle—don’t just assume—let us know! This enables us to give you the perfect vehicle for your requirements and make your journey the best it can be.
Car Logic
Coaches are restricted in speed, and driver breaks are closely regulated. This makes them slower than a car, so do not rely on Google Maps to work out critical timings. If in doubt, let us know when you need to arrive at a destination and we can work it all out for you, then suggest a suitable departure time.
Tip: For every hour of travel on Google Maps, add 15 minutes to get a more accurate travel time.
What to consider when selecting an operator
We know how tempting it is to just go with the cheapest quote. But when you’re organizing a trip, you’re trusting an operator with your group’s safety and the smooth running of your itinerary.
DVSA Compliance
The DVSA (Driver and Vehicle Standards Agency) is the government watchdog that monitors all UK coach operators. When you're comparing quotes, remember that a deeply discounted price can sometimes be a red flag that a company is saving money by cutting corners in their engineering workshop.
Each operator has an Operator Compliance Risk Score from the DVSA. It’s a simple traffic light system for safety. Green is great, Amber or Red should send you running! Reputable operators will happily share this with you without hesitation. We’re green, and are happy to show you everything to prove it!

Plan B
The difference between a reliable operator and a risky low-budget option is often learned the hard way. Check with the operator if they have a 24-hour emergency contact number, and find out what backup options they have if your coach develops an issue.
We supply every client with 24-hour contact details and are on hand at all times to resolve any problems. This is not the case for some operators, so do check!
